We are seeking a highly motivated, reliable, and experienced Payroll & Benefits Specialist who will take end-to-end ownership of payroll processing for Slovenia and coordinate payroll and benefits delivery across our international locations. This is a strategic and autonomous role, designed for someone who is proactive, precise, and capable of developing and implementing processes that ensure payroll accuracy, benefits alignment, and full compliance with local regulations.
You will serve as the single point of accountability for payroll operations, acting as both an internal advisor and an external liaison to agencies in Serbia, Croatia, the Netherlands, Germany, and the Czech Republic.
Key Responsibilities
Payroll Operations & Governance
- Lead and execute full-cycle in-house payroll for Slovenia with full responsibility for accuracy, reporting, and compliance.
- Manage relationships and workflows with external payroll agencies in other countries (Serbia, Croatia, Czech Republic, Netherlands, Germany).
- Authorize all payroll changes across regions; act as sole approver and validator of agency-submitted adjustments.
- Develop and maintain a centralized payroll governance framework, including calendars, checklists, and audit protocols.
- Ensure payroll inputs are accurate, complete, and aligned with local legal requirements and internal policies.
Benefits & Compensation
- Collaborate with HR and Finance to design, harmonize, and monitor benefits programs across countries (e.g., health insurance, allowances, pensions).
- Support the creation and evolution of compensation structures, including salary belts, benchmarking, and job levelling frameworks.
- Conduct market analysis and gather internal data to propose improvements in benefits and compensation equity.
Reporting & Compliance
- Produce and maintain detailed payroll and headcount reports (monthly, quarterly, annual).
- Support external and internal audits, and statutory filings.
- Ensure data consistency and accuracy across HRIS, payroll, and time tracking tools.
- Maintain documentation to demonstrate full legal and financial compliance.
Process Improvement & Strategic Projects
- Actively seek out inefficiencies and propose automation, documentation, or digital tools to streamline operations.
- Independently design and implement new procedures for cross-border payroll consistency.
- Collaborate on internal initiatives related to budgeting, or system implementation.
What are we looking for?
Required Qualifications & Experience
- 3+ years of experience in payroll processing, with at least one full-cycle country ownership (preferably Slovenia)
- Demonstrated experience coordinating or managing multi-country payroll is highly preferred.
- Excellent knowledge of payroll laws, taxation, and statutory benefits in Slovenia.
- Experience with Microsoft Dynamics NAV (or Business Central) for payroll processing is a strong advantage.
- Strong Excel skills: ability to clean, audit, and analyze datasets is essential.
- Fluent in English; knowledge of local or regional languages is an advantage.
- Highly organized, able to manage multiple deadlines across countries.
- Strong interpersonal and communication skills for dealing with vendors, managers, and executives.
- Proactive mindset — eager to take initiative, solve problems, and build sustainable systems.
Preferred Competencies
- Understanding of international labor regulations and global mobility considerations.
- Project management experience (e.g., launching a new payroll vendor, setting up a new country's payroll).
- Exposure to benefits design, job architecture, or compensation planning.
